Scope
This Privacy Policy explains how GeoSafe Inc. ("GeoSafe," "we," "us," or "our") collects, uses, discloses, retains, and protects information through GeoSafe applications, websites, dashboards, and related services (the "Services").
The Services are intended primarily for authorized personnel of subscribing government, public-safety, and law-enforcement agencies. Features vary by application and agency. Each subscribing agency controls its users and determines the lawful purposes for its operational activities and official records. For agency data, GeoSafe generally acts as a service provider to the subscribing agency.
An agency may have additional notices, policies, and legal obligations that apply to its records.
Information We Process
Depending on the Services and features used, GeoSafe may process the following categories of information:
- Account and agency information, such as name, username, agency, role, permissions, contact information, and authentication data.
- Operational information, such as location, status, assignments, calls, incidents, maps, and related timestamps.
- Communications and content, such as messages, photographs, files, notes, diagrams, and notifications.
- Public-safety and official-record information, such as subject, driver, vehicle, citation, crash, incident, and query information.
- Device and service information, such as device type, operating-system and app versions, network information, diagnostic information, and security or audit records.
- Information submitted through a GeoSafe website or support channel.
Some GeoSafe applications may use the camera, selected photos, location services, Face ID, notifications, or nearby accessories with device permission. GeoSafe receives only the success or failure result from Face ID and does not receive or store the user's facial image or biometric template from Face ID.
Mobile ID Information
Some GeoSafe applications may support an approved, in-person mobile driver-license or mobile ID workflow. The credential holder reviews the request on their device and chooses whether to present the requested information.
Depending on the approved workflow, the information may include identity, address, date-of-birth, document, issuing-authority, expiration, and driving-privilege information. The application requests only the elements authorized and needed for the user's official task. GeoSafe does not obtain the credential holder's Apple Account credentials or unrelated Wallet information.
Mobile ID information may populate the same query or form fields that an authorized user would otherwise scan from a physical credential or enter manually.
How We Use Information
GeoSafe uses information to:
- Provide, administer, and support the Services.
- Authenticate users and enforce agency permissions.
- Provide authorized mapping, location, messaging, query, reporting, and records features.
- Create, transmit, print, or maintain agency communications and official records.
- Maintain required security, audit, and transaction records.
- Protect the Services, detect misuse, investigate incidents, and troubleshoot errors.
- Respond to support requests and business inquiries.
- Comply with agency agreements, legal process, audits, and applicable law.
GeoSafe does not sell personal information. GeoSafe does not use mobile ID information, criminal-justice information, official agency records, private agency communications, or precise operational location for advertising, cross-app tracking, or unrelated profiling.
How We Disclose Information
GeoSafe may disclose information:
- To the subscribing agency and its authorized users.
- To government, court, criminal-justice, public-safety, and records systems selected or authorized by the agency.
- To contracted providers that help operate, secure, support, or maintain the Services.
- When required by law, valid legal process, an authorized audit, or a security investigation.
Providers may process information only to perform services for GeoSafe or a subscribing agency. They must provide the same or a greater level of protection described in this policy and required by applicable law. They may not use protected agency information for their own advertising or unrelated purposes.
Retention and Deletion
Retention depends on the type of information, the feature used, the subscribing agency's instructions, applicable agreements, and legal requirements.
Mobile ID data
Mobile ID data is used to populate an authorized query or form. If the user does not apply the data to a query or official record, the application does not intentionally create a separate permanent copy of the mobile credential solely because the verification occurred.
If the data is used in a query or official record, the resulting transaction or record is retained under the rules below.
Audit and transaction records
GeoSafe and participating criminal-justice agencies retain required CJIS audit and transaction records for at least one year. Records may be retained longer when needed for administrative, legal, audit, security, or operational purposes. Audit records are limited to the information needed for the audit purpose. This follows the FBI CJIS Security Policy.
Agency and official records
Agency communications, location records, queries, citations, crash reports, incident reports, attachments, and other official records are retained according to the agency's instructions, applicable law, legal holds, contracts, and approved records schedules. Retention periods vary by agency and record type.
A local draft or working copy may remain on an agency-controlled device until it is submitted, deleted, archived, replaced, or otherwise handled under agency policy. Removing a local copy does not delete a record already submitted to an agency or another authorized system.
Accounts and support records
Account and configuration information is retained while needed to provide the Services and afterward as reasonably necessary for security, audit, dispute-resolution, and legal purposes. Support and business records are retained while reasonably needed to address the request and maintain the relationship.
Information subject to a legal hold, audit, public-records request, or investigation may be retained until the matter and any required retention period end.
Your Choices and Requests
Users can manage camera, photo, location, notification, Face ID, and nearby-device permissions through device settings. Disabling a permission may limit the related feature but does not delete information already submitted.
A credential holder may decline a mobile ID request on their device.
An authorized user may ask the user's agency administrator to correct account information, change permissions, or disable the account.
A person seeking access to, correction of, or deletion of an agency communication or official record should contact the agency that created or maintains the record. GeoSafe will assist the agency as required by contract and law. Some records cannot be deleted on request because legal, audit, evidentiary, public-records, or retention requirements control them.
Security
GeoSafe uses administrative, technical, and physical safeguards designed to protect information against unauthorized access, use, alteration, loss, and disclosure. Safeguards vary by the information and system and may include access controls, authenticated sessions, encryption, audit logging, monitoring, and agency-based permissions.
No security measure can eliminate every risk. GeoSafe investigates suspected security incidents and provides notices when required by law.
Children's Information
The Services are not directed to children and do not offer consumer accounts for children. An authorized agency may process information about a minor when necessary for a lawful public-safety or official-record purpose. That information is subject to this policy and any additional protections required by law.
Changes to This Policy
We may update this policy to reflect changes in the Services, legal requirements, or our practices. We will post the revised policy with a new "Last updated" date and provide additional notice when appropriate.
